Supports and works with project team and able to perform all Project Assistant job responsibilities as required
Produces professional written correspondence on own accord
Maintains and organizes current electronic and hard copy project files
Provides Superintendents with updated subcontractor and project information
Provides project closeout as-built drawings within 30 days of project completion
Reviews and audits office files and plans for archiving upon completion of project
Submits for project permits as required
Commitment Documents:
Provide budget and general information for processing subcontractor commitment documents including, but not limited to Subcontract Agreements, Purchase Orders, Work Orders and Change Orders
Provide budget and general information for processing owner commitment documents including, but not limited to Contract and Change Orders
Drafts scopes of work and requests for proposal
Estimating and Scheduling:
Assists with all phases of the bidding process as needed, including preparing invitations to bid, sub call-outs, plan distribution and preparation of bid recaps
Assists with cost estimating and take-offs as needed
Pre-qualifies subcontractor bids including quantity takeoff comparisons, unit cost comparison, etc.
Schedules and performs subcontractor job walks and responds to all pre-bid RFI’s and subcontractor questions
Drafts scopes of work for subcontracts and/or reviews scopes prepared by Project Manager
Prepares Cost Estimates based on Owner Change Orders to include evaluating change order impact, dispersing change order information to appropriate subcontractors, evaluating general conditions impact, schedule impact and draft owner change order for P.M. review
Prepares drawing overlay using Bluebeam/On-Screen Take Off and produces written narrative for all owner/architect issued bulletin changes
Identifies submittals and RFI’s that may have additive cost and/or schedule implications and distributes to subcontractors for pricing
Assists with data entry, print and distribution of the Master and Rolling Schedules
RFI’s and Submittals:
Completes submittal process as per schedule and within pre-determined time frame
Completes submittal tracking log using Constructware
Identifies discrepancies between submittal and contract documents and generates RFI’s as required
Identifies and follows up on any Submittal of RFI issues that require urgent response or additional follow up to mitigate delays
Assists team in preparing draft RFI’s and responses
Uses software tool to mark-up RFI’s for reference including sketches illustration, plan section and/or detail to articulate design conflict and suggested solutions
Updates RFI and Submittal logs and identifies distribution list
Processes RFQ’s within same day of Owners/Architects issuance
Plans and Specifications
Comprehensively interprets plans and specifications
Maintains latest drawings, drawing list and slip sheet hard plan set
Develops subcontractor distribution list for drawing revisions and updates
Distributes revised/delta drawings to corresponding subcontractors
Organizes and labels as-builts, field and office files for archiving upon completion of project
Leadership:
Attends weekly construction meeting
Attends jobsite meetings and records meeting minutes as requested by Project Manager
Assists in conducting Owner and Subcontractor meetings
Mentors new hires and interns
Qualifications:
Degree or Certificate in Civil Engineering, Construction Management, Construction Engineering, Structural Engineering, Architecture or Engineering preferred
LEED Green Associate preferred
OSHA 30-Hour Training preferred
One to three years of work experience in the construction industry preferred
Intermediate to Advanced level in Microsoft Office Applications (Word, Excel and Outlook)
Advanced level in Microsoft Project
Advanced level in Constructware
Beginning level in Timberline
Beginning level in On Screen Take Off and Bluebeam software
Experience in BIM, LEAN and LEED practices a plus
Intermediate level understanding of digital images (how to open, view, customize and print them)
Strong organizational skills, flexibility, and the ability to prioritize work assignments
Ability to work outside year round in all types of weather conditions
A motor vehicle driving record that is consistent with Company and insurance carrier standards
Able to travel throughout construction sites during all phases of construction
Strong knowledge of general office procedures and office machines
Extreme attention to detail
Excellent written and oral communication skills
