Processes owner commitment documents including, but not limited to, Contract, Change Order Proposals, and Change Orders in Constructware and/or AIA software, within 48 hours of issuance from Manager or Project Manager
Receives executed subcontract commitment documents, records executed date and discount terms in Constructware within 24 hours. Scan exectued document to P-drive and upload in Constructware
Produces professional written correspondence on own accord and as directed by Manager or Project Manager
Completes submittal process, as per schedule, and within pre-determined time frame (internal turn-around to be 48 hours)
Prepares and Tracks RFI’s and Submittals with assistance from Manager or Project Manager as required
Sends out punch lists to all subcontractors
Assists with all phases of the bidding process as needed, including preparing invitations to bid, sub call-outs, plan distribution and prepare bid recaps
Creates and maintains organized and current project files in Constructware, on the P-Drive and in the office
Provides Superintendents with updated subcontractor and project information
Prepares notice of completion and project closeout documents within 30 days of project completion
Organizes and labels field and office files and plans for archiving upon completion of project
Schedules Project Start-Up and Close-Out Meetings upon direction of Vice President of Construction or Manager or Project Manager
Run reports and assist Project Manager with monthly cost reports
Attends weekly construction meetings
Attends jobsite meetings and records meeting minutes as requested by Manager or Project Manager
Coordinates with Accounting Department on owner billings and project related accounting issues
Runs errands as required
Upload plans into Constructware
Qualifications:
Minimum two-year experience in similar administrative position preferably in the construction industry
Intermediate to advanced level in Microsoft Office Applications (Word, Excel and Outlook)
Beginning to intermediate level in Microsoft Project
Advanced level in Constructware
Beginning level in Timberline Accounting
Beginning to intermediate level understanding of digital images (how to open, view, customize and print them)
Beginning understanding of blueprints and specifications
Ability to keyboard at least 50 wpm accurately
Understanding of CSI construction cost codes
Strong knowledge of general office procedures and office machines
Strong organizational skills, flexibility, and the ability to prioritize work assignments
Extreme attention to detail
Excellent written and oral communication skills
Motor vehicle driving record that is consistent with Company and insurance carrier standards and policies
