Project Coordinator

One of the largest contract furniture dealers in Arizona is looking for a Project Coordinator.

Job Overview:

Position is responsible for the entire sales order fulfillment process, including management of customer orders from order entry through punch list, providing support to sales personnel, and accurate and timely service to customer to ensure customer satisfaction. Coordinates order entry, order management, factory interface and close-out of orders.

Primary Responsibilities:

  • Work with all sales personnel, Account Managers, Project Managers, Accounting and Installation to ensure total customer satisfaction.
  • Assist Sales in the creation of proposals per the Sales Person/AM’s write up (should include product listing with prices of SIF file hard copy and file in the I-drive) reviews quote and prints it for sales presentation to customer
  • Create a job card for all new proposals
  • Validate all company proposals
  • Print proposals and proposal analysis for the sales person
  • Converts all proposals into orders and sends purchase orders to manufacturers.
  • Check daily for any shortages and for shipping information for all company orders
  • Checks acknowledgments against order; resolves discrepancies with vendors (manufacturing errors, freight claims, return authorizations, etc.); verifies ship date with customer, and provides weekly updated status reports
  • Reviews and proofs orders for basic information (ship to, bill to, contract number, etc.) accuracy and completeness.
  • Create Status reports and communicate to sales on a weekly basis all order status, punch list resolution and scheduling of shipping, delivery and installation.
  • Prepares work order packet with clear scope of work (provided by Account Manager/Sales) and delivers to operations
  • Maintains master sales order and work order files for all assigned orders insuring file is complete and up-to date
  • Invoices for all product and service work for assigned sales orders; verifies invoice amounts and balance to customers are accurate.

  • Proficient with Contract Furniture Industry Products
  • Knowledgeable regarding multiple company vendors

Technology:

  • Proficiency with preparation of proposals, orders inquiries and generating reports
  • Experienced in Excel and Microsoft Word
  • Capable of working via the internet efficiently
